Sending Files

When sending your submissions, please try to send them as attachments rather than in the body of the email. The best way to do this is to compress the submission file before you attach it (with WinZip or a similar program)--that way you don't have to worry about your emailer inserting your plain text attachment into the body of the email, and upload and download times (and the data coordinator's mailbox size) are greatly reduced.

Naming Indices

I realize that "GCD indexes" or similar names are probably sufficient for your purposes in identifying your submission files. However, it not only helps the data coordinator know what is in the file, it also helps you the indexer in case you ever need to find or refer to your index.

• ForbushMan1-4.txt
  The name of the series and the issue numbers. Elegant. Simple. Unambiguous. Works if you send separate indexes in separate files. This is especially helpful for partial runs. For complete series, use "ForbushMan_complete".

• IrvingIndexer8.txt or IrvingIndexer02-00.txt
  Your name and either a serial number or a date. Several people who send multiple titles in a single file use this format, which is also clear. It's not as easy to find individual titles, but if the names are distinct, and the data coordinator knows who did the index that he's looking for, he can usually find it without too much difficulty.
